OUR MISSION The Portola Hotel & Spa is proud to be an approved Blue Zones Project. We follow the recommendations of the Monterey Bay Aquarium Seafood Watch® Program. We pride ourselves on offering some of the most eco-friendly, locally sourced and sustainable menu options from Monterey County, including award-winning wines and craft beers brewed on-site. MENU SELECTIONS Menu selections are required a minimum of four (4) weeks prior to event. All prices are subject to 15% Service Charge and 10% Administrative Fee equal to 25% total service charge and plus applicable local sales taxes. When offering two (2) entrée selections for plated lunch and dinner, the higher entrée price will prevail for both items. MENU GUARANTEE Guarantee of attendance is required five (5) business days prior to the function, otherwise the contracted number of guests will become the guarantee. The guaranteed number is not subject to reduction. REDUCTION IN GUEST COUNT Banquet and meeting space is booked and confirmed based on group size and type of function. If a group reduces attendance by more than 25% of the original guarantee, the hotel reserves the right to adjust the meeting room rental fee or reassign the group to a smaller alternative meeting function space. PRICES Due to market fluctuations, all prices are subject to change until ninety (90) days prior to the function when confirmed prices will be quoted. Prevailing sales tax, 9.25% and service charges will be added to the total cost of the function, when applicable. Service charges are taxable and subject to change. OFF PREMISES CATERING An off-premise catering fee of $20 per guest will be applied to all events catered outside of the Hotel, including Custom House Plaza and Memory Garden. Fees exclude associated rental costs through California State Parks and will be added to current menu pricing, per person. Fees include chairs, tables, house linen, tableware, labor, setup, and breakdown associated with providing catering services at an off-premise location. SETUP CHANGES Set up changes made within the same day of the event will incur a labor charge of $500 for De Anza Ballroom or $300 for all other meeting rooms. LABOR FEES Events with guarantees of fewer than twenty-five (25) guests for Buffet Breakfast, Lunch or Dinner functions will be assessed a labor fee of $190. A Bartender Fee will be assessed $225 per bar, three (3) hour minimum and $50 each additional hour per Bartender. OUTSIDE FOOD & BEVERAGE All food and beverage must be purchased exclusively through Portola Hotel & Spa and must be consumed on premises. Removal of food is prohibited from function space once prepared and served. Outside food or beverage is not permitted into any hotel public space, banquet events or hospitality suites. With approval, a corkage fee of $35++ per 750ml bottle of wine will be applied to any wine supplied by the client. MUSIC & ENTERTAINMENT Please refer to our preferred vendor list for recommendations. Should you select an alternate vendor, we require your vendor’s proof of liability insurance ten (10) days prior to the event. All events with music or entertainment must be reviewed with your Catering & Events Manager prior to contracting entertainment. The Hotel reserves the right to request sound/volume to be adjusted or discontinued. Music is not allowed after 10pm without prior written approval.

REDUCED WASTE CONFERENCES Portola Hotel & Spa is committed to minimizing the environmental impact of events hosted on our premises. As part of this commitment, our clients agree to collaborate with us in implementing environmentally responsible practices throughout the planning and execution of their event. SECURITY The Portola Hotel & Spa assumes no responsibility for loss or damage of materials or equipment left in the banquet rooms. Your Catering Manager can arrange for security for events when necessary and the charges will be posted to your account. The Portola Hotel & Spa reserves the right to exclude, refuse service or remove any and all objectionable persons from the function or its premises without liabilities WARNING: Certain foods and beverages sold or served here can expose you to chemicals including acrylamide in many fried or baked foods and mercury in fish, which are known to the State of California to cause cancer and birth defects or other reproductive harm.
